      I booked a block of 20 rooms for my wedding guests at a large hotel downtown. I specifically requested that my elderly grandparents be near the elevators and that the bridal party be on the same floor for getting ready photos. I just logged into the portal, and it looks like everyone is scattered randomly from the 3rd to the 12th floor. Is this something the front desk can rearrange now, or am I stuck with this logistical nightmare?

      Don’t panic yet. Automated systems often assign rooms randomly based on availability at the moment of booking. Call the group sales coordinator you signed the contract with, not the general reservation line. They usually have the power to manually override room assignments up until about 48 hours before check-in.

      I organize an annual family reunion, and room proximity is always the biggest headache. Last year, I needed to ensure adjoining rooms for my brother’s kids and a handicap-accessible room for my mom. The app wouldn’t let me specify specific room numbers, so I had to talk to a human. I spent a while looking for the local front desk line rather than the central booking agency. I eventually found the Crowne Plaza phone number which got me through to the actual property manager. They blocked off a whole wing for us once I explained the situation. It’s definitely worth a direct call to the specific location.
